1. The same data lives in three different files

Customer details in one sheet, invoices in another, project status in a third. Nobody is ever sure which is the most up-to-date. People update the wrong one. Conflicts emerge. Data drifts. A custom system has one source of truth — and only one.

2. Manual data entry is taking hours per week

Copying figures from one sheet to another, exporting CSVs, re-typing customer info into invoicing software. Every manual transfer is an opportunity for error and a small theft of time. If anyone in your team spends more than 2 hours a week on data movement, the cost has crossed the build threshold.

3. Permissions are out of control

4. The whole business pauses when one person is on holiday

The only person who knows how the master tracker works is unavailable. The whole team is reluctant to touch the formulas. Real work slows down for a week. This is fragility — and it scales worse the bigger the business gets.

5. Customers are asking for things spreadsheets can't deliver

"Can I see my project status?" "Can I update my own details?" "Can I get a notification when X happens?" Each request reveals a customer experience gap that a spreadsheet structurally cannot fill. Customers increasingly expect self-serve.
