App Planning: Does Your Business Actually Need One?

A clear framework for deciding whether a custom app or tool would genuinely move your business forward.

Apps solve repetition, not marketing

A custom app rarely brings new customers — that's your website and visibility. Apps shine when they remove repeated manual work: bookings, scheduling, quotes, client records, compliance paperwork.

The 'three spreadsheets' rule

If your business runs on three or more spreadsheets that people update by hand, you likely have a strong case for a simple custom tool. The payback is time, accuracy and calmer operations.

Start with one painful workflow

Successful business tools start embarrassingly small: digitise one workflow (say, job quoting) end-to-end. Prove the value, then extend. Big-bang apps fail; focused tools stick.

Buy before you build — usually

If an off-the-shelf tool does 80% of what you need, use it. Build custom when your workflow is genuinely unusual, when tool subscriptions stack up, or when the tool IS your competitive edge.

Your checklist

  • List every repetitive task that eats 30+ minutes a week
  • Count your hand-updated spreadsheets
  • Pick the single most painful workflow
  • Check if an off-the-shelf tool covers 80% of it
  • Estimate hours saved per month — that's your budget guide
